How to Monitor Supplier New Arrivals Without Browsing Their Entire Catalog Every Week
Vague newsletters, unreadable CSV files, dealer portals... None of these actually work. Here's what organized merchants do instead.
You have 3, 5, maybe 10 suppliers. Each one regularly releases new products, with little to no real notification. Miss a new item that takes off with all your competitors, and you've lost an opportunity for the next six months.
So you try to stay on top of things. And it eats up a lot of time.
Why the usual approaches don't hold up
Supplier newsletters: they arrive when you least expect them, mixing promotions, trade shows, and new products at random. And they don't tell you whether the item fits your customers.
Dealer portals: you have to log in, navigate to the new arrivals section, filter by date, and that's only when the publish date is properly filled in, which isn't always the case.
CSV catalog feeds: delivered once a month, 3,000 rows, no reliable "date added" column. Comparing two exports to find what changed is accountant work.
Manually browsing the site: you spend 45 minutes on a supplier's website, spot 4 interesting products. Problem: you now have to process each one into a PrestaShop listing. Those extra 45 minutes are what drain you, not the browsing itself.
What organized merchants actually do
Most high-performing merchants have simplified their product scouting to the essentials:
- A fixed cadence per supplier, usually once a week or once every two weeks depending on how often they add new products.
- A single entry point: the "New Arrivals" or "Latest products" page on the supplier's website, filtered to the last 15 or 30 days.
- A clear selection criterion before starting: product type, price range, minimum margin. No browsing by feel.
With this approach, the scouting itself takes 20 to 30 minutes per supplier. The real problem is what comes after.
The step that actually costs time
Spotting an interesting product on a supplier's site is fast. What takes time is getting from "I found something" to "it's live in my store."
Title to rewrite. Description to adapt to your brand voice. Images to download one by one, rename, optimize. Price to fill in. Category to assign. SEO fields to complete. Preview, fix, publish.
For a standard product with no variants and no complex spec sheet: 15 to 20 minutes. Multiply that by 5 products spotted in one scouting session: that's an hour and a half of administrative work for 20 minutes of browsing.
This imbalance is what pushes most merchants to reduce how often they scout, and therefore miss new products.
Making the capture instant
The way out: separate the scouting (which stays manual and intentional) from the processing (which can be automated).
When you're on a supplier's "New Arrivals" page and spot something worth adding, KoyaSync captures the listing from the supplier page, rewrites the description with AI, processes the images, and pushes everything directly into PrestaShop. Under a minute per product, from your browser, without leaving the supplier page.
In a scouting session where you pick 5 products to add, the processing phase drops from 90 minutes to 5. The scouting stays in your hands, the execution disappears.
This is what we call conscious cherry-picking: you choose every product that goes into your store, the tool handles the execution. Unlike automatic catalog sync, which would import everything a supplier publishes, you keep editorial control over your store. A product with poor photos, a color you don't want to carry, a margin that doesn't work: you skip it in one click.
We described this approach in detail in our article on creating product listings in under a minute, including a live demo.
What it changes in the long run
When scouting costs less in execution, you can increase frequency without increasing your workload. Instead of checking your suppliers every two weeks because you're afraid of the processing time, you can move to once a week.
The result: you miss fewer windows of opportunity (trending products typically sell best in the first 3 to 6 weeks), and your catalog turns over more quickly, which is also a positive signal for your store's search ranking.
